Draftsmith Privacy Policy

Intelligent Editing ("us", "we", or "our") operates Draftsmith (“the Service”).

This page informs you of our policies regarding our collection, use and disclosure of personal information about you when you use Draftsmith.

Unless otherwise defined in this Privacy Policy, terms used in this Privacy Policy have the same meanings as in the Draftsmith Service Agreement accessible at: Service Agreement

This policy excludes the practices of entities beyond our ownership or control, as well as individuals outside our management.

Personal Information

We collect personal information about you:

  • When you provide such information directly to us. This includes:

o   When you create a Draftsmith account.

o   When you voluntarily provide information through responses to surveys or questionnaires.

o   When you write us an email or contact us by other means.

  • Through automatic means when you use Draftsmith, including:

o   Through cookies (defined in the “Cookies” section below).

o   Location data, which we may receive when you use a location-enabled browser.

o   Information transmitted from your device for the purpose of providing you the relevant services, such as information regarding when you are logged on and available to receive notifications.

We will not collect additional categories of personal information or use the personal information we collected for materially different, unrelated, or incompatible purposes than those stated above or elsewhere in this Privacy Policy.

How We Use Your Information

Your Account

We may use your personal information for the following purposes:

  • To manage your registration as a User of Draftsmith: We will collect the personal information you provide (name and email address) to give you access to our Service.

  • For the performance of a purchase contract.

  • To contact you by email or other equivalent forms of electronic communication regarding updates or other informative communications such as security updates, when necessary or reasonable for their implementation.

  • To manage any queries you send to us.

  • When you use Draftsmith (see “Using Draftsmith” section below).

Using Draftsmith

Draftsmith is a Microsoft Office and Google Docs extension. When you install Draftsmith, you grant us access to your email address so you can set up and sign into your account.

At your request, Draftsmith carries out “Sentence Checks” (you request a Sentence Check either by clicking a Suggester button, or the Next or Back buttons). When you request a Sentence Check, you grant us access to that Sentence only. Our Service transmits the text of that Sentence to our servers, processes the data, and asks Microsoft’s Azure OpenAI Service to process the text. Microsoft’s Azure OpenAI Service documentation states that all of this data is encrypted as Microsoft receives and processes this data and sends the data back to us.

Microsoft’s Azure OpenAI Service sends the newly generated text back to our servers and this is again encrypted. Microsoft hosts the OpenAI models within their Azure infrastructure, and all customer data sent to Azure OpenAI remains within the Azure OpenAI Service.

Sentence Check data may be temporarily stored by the Azure OpenAI Service in the same region as Draftsmith’s servers for up to 30 days. According to Microsoft Azure OpenAI Service documentation, this data is encrypted and is only accessible to authorized Microsoft employees for (i) debugging purposes in the event of a failure, and (ii) investigating patterns of abuse and misuse to determine if Draftsmith is being used in a manner that violates the applicable product terms.

No text is stored on our servers. Our servers securely process the new text and send it back to you via the extension. This data is encrypted and deleted from our servers shortly after this stage. We only log the metadata: the time the Sentence was sent, the length of the Sentence, the account it was sent from, and the type of change requested for the provided Sentence.

We may create aggregated, de-identified or anonymized data from this information, which will involve removing information that makes the data personally identifiable to a particular User. This data may be used for lawful business purposes, including to analyze, build and improve Draftsmith and promote our business, provided that we will not share such data in a manner that could identify a User.

We do not share your Draftsmith account data with anyone, including Microsoft’s Azure Open AI Service.

Retention of Your Personal Information

The Company will retain Your personal information only for as long as is necessary for the purposes set out in this Privacy Policy.

Log Data

We may also collect information that your browser sends whenever you visit the Draftsmith Website. This Log Data may include information such as your computer’s IP address, operating system, browser type, browser version, the pages of the Draftsmith Website you visit, the time and date of your visit, the time spent on those pages and other statistics.

Cookies

Cookies are files with a small amount of data, which may include an anonymous unique identifier. Cookies are sent to your browser from a website and stored on your computer’s hard drive. If you use Draftsmith, we may use cookies to collect information. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, if you do not accept cookies, you may not be able to use some portions of our Service.  

Third-Party Service Providers

We use certain Third-Party Service Providers to collect, store, use, process, and transfer information. These providers include Facebook (including Facebook ads, also known as Meta ads), Google (including Google Analytics), Microsoft (including Outlook, SharePoint, and Microsoft’s Azure Open AI Service) and Paddle, our payment processor. We may use additional Third-Party Service Providers from time to time as well.

Third-Party Services collect, use and share personally identifiable information (PII) pursuant to their own privacy and security policies. Some of them, including Google, may use location information and other PII to serve advertisements to consumers on other websites. By using our Service, you consent to our providing PII with Third-Party Services to be used in accordance with their own privacy and security policies as they exist today and as they may change in the future.

You can opt out of having your activity on Draftsmith made available to Google Analytics by installing the Google Analytics opt-out browser add-on. The add-on prevents the Google Analytics JavaScript (ga.js, analytics.js and dc.js) from sharing information with Google Analytics about visits activity.

Compliance with Laws

We will disclose your personal information where required to do so by law or under an order of a court of competent jurisdiction, or if we believe that such action is necessary to comply with the law and the reasonable requests of law enforcement or to protect the security or integrity of Draftsmith.

Security

The security of your personal information is important to us, and we are committed to using commercially acceptable means to protecting it. Once we receive your information, we enforce strict procedures and security features to prevent unauthorised access. When appropriate, robust encryption methods are used, both in transit and storage. We also implement measures and controls to safeguard your personal information including, but not limited to, staff training, continuous monitoring and improvement, effective data segregation within our environments, and network access controls.

International Transfer

When you use our Service, your information, including personal information, may be transferred to—and maintained on—computers located outside of your state, province, country or other governmental jurisdiction where the data protection laws may differ than those from your jurisdiction. If you are located outside United Kingdom and provide information to us, we may transfer the information, including personal information, to the United Kingdom and process it there. Your consent to this Privacy Policy followed by your submission of such information represents your agreement to that transfer. If a dispute arises regarding the international transfer of data, you agree that the courts of England and Wales shall have exclusive jurisdiction over the matter.

Your Data Protection Rights Under General Data Protection Regulation (GDPR)

If you are a resident of the European Economic Area (EEA), you have certain data protection rights. Intelligent Editing aims to take reasonable steps to allow you to correct, amend, delete, or limit the use of your Personal Data. If you wish to be informed what personal information we hold about you and if you want it to be removed from our systems, please contact us.

Children’s Privacy

Our Service addresses no one under the age of 16 (“Children”). We do not knowingly collect PII from Children. If you are a parent or guardian and you know that your Children have provided us with personal information, please contact us.

Changes to this Privacy Policy

We may update our Privacy Policy occasionally. If we make a material change to this Privacy Policy, we will notify you either through the email address you have provided us, or by placing a prominent notice on our Website. You are advised to review the Privacy Policy periodically for any changes. Changes to the Privacy Policy are effective when posted.
